About the Role
The Operations Coordinator will be responsible for the seamless execution of logistics, inventory management, and wholesale operations. This role requires strong organisational skills, attention to detail, and the ability to work cross-functionally with various teams, suppliers, and logistics partners.
Key Responsibilities
Operations & Inventory Management
Manage system and data administration across CIN7, Shopify and other platforms as required.

Maintain accurate inventory records and conduct regular cycle counts.

Process staff orders and promotional orders in alignment with internal policies.

Ensure packaging inventory is adequately stocked and organised.
Logistics & Warehouse Management
Coordinate with freight forwarders and 3PL providers to manage international stock deliveries, pick and pack operations, consolidations, and dispatch.

Liaise with freight partners for stock shipments and local warehouse deliveries.

Track ETD, ETA, and ITW dates via MyHub and provide weekly updates.

Maintain an organised warehouse environment, ensuring efficient order fulfillment.

Assist with online order dispatch and returns as needed.
Finance & Order Processing
Prepare accounts payable (AP) and accounts receivable (AR) invoices for payment processing.

Adhere to end-of-week (EOW) and end-of-month (EOM) financial system requirements.
Wholesale Operations
Develop order forms, product cheat sheets, and description documents.

Review account platform requirements to ensure compliance.

Process and import wholesale orders into Cin7 CRM.

Manage order confirmations, updates, deposit, and balance invoices.

Handle cancellations, credits, debits, and returns for both faulty and non-faulty goods.

Create seasonal shipping reports with customer payment terms, cancellation policies, and outstanding balances.

Process invoices through CIN7 and Xero, ensuring timely payment follow-ups.

Pick, pack, and dispatch wholesale orders while coordinating priority accounts with finance.

Prepare sales agent commission reports.

Manage consignment and drop shipping accounts.

Oversee available-to-sell (ATS) inventory and replenishment orders.

Provide wholesale customer support as needed.

High emotional intelligence (EI) – the ability to navigate challenging situations with professionalism, patience, and diplomacy.

Ability to stay calm and focused under pressure, especially when managing multiple important or time-sensitive tasks.

Strong problem-solving mindset – ability to anticipate issues and implement solutions efficiently.

Meticulous attention to detail – accuracy in inventory management, invoicing, and data entry.

Proficiency in CIN7, Shopify, Xero and Microsoft Office Suite.

Strong organisational and multitasking skills – ability to manage competing priorities effectively.

Ability to work both independently and as part of a collaborative team.

Australian Driver’s License required.
